Setup multiple rates (contracts) on the aircraft profiles and/or the account records. Each contract created on the aircraft profile can encompass owner payback details, which drives the profit percentage in the profit analysis within the quote.
Within a quote, users have the option to select alternate contracts, if necessary.
Access the aircraft profile
Create a contract. Multiple tail numbers can be selected on one contract when creating from the aircraft profile. The aircraft in the example below has three different rates (Broker, Jet Card Program and Retail). Within each contract the rates for charter quotes and owner cost can be captured. Each aircraft has one default rate that can be edited, but not deleted. In the example below, that rate is the 'Retail' rate, which has been edited from its original name, 'Default Contract.'
Here is an example of a Contract:
This is a custom rate. The hourly and position rate are the same at $4,940.00 and there is a 2-hour daily minimum requirement (total hours over the duration of the trip from start to finish) at a custom rate of $4,500. The owner gets paid $4,200.00/hour, gets 100% of the Fuel Surcharge (that fees comes from the master line item) and the owner collects 50% of the minimum requirement and the block time.
Definitions:
Name - name of contract. This displays on the main contract within the aircraft profile
Active - active or inactive contract
Aircraft - select tail number(s)
Taxes - company default or custom, if custom set the tax rate, segment fees and if state tax % applies
Currency Selection - designate the applicable currency for the specific contract. The hourly rate, position, NM, SM, minimum leg fee and short leg fee are the will then be calculated based on the selected contract currency.
Calculation Method - calculation of flight charges
Hourly Rate - quote hourly rate
Position Rate - quote position rate (when legs are designated position)
Nautical Mile - if the rate is calculated by NM
Statue Mile - if the rate is calculate by SM
Daily Minimum - the minimum daily amount of flight time required. The Contract Rate option refers to the hourly rate.
Minimum Leg Fee - the amount entered will be applied if a leg does not meet that amount entered
Short Leg Minimum / Fee - if leg is less than the time defined, the fee defined will apply. This refers to Flight Time only. Example, if set to 0.6 and $1000. A short leg fee will apply when the Flight Time is less than 0.6 (00:36), not when it's 0.6.
Within the contract setup, the Line Items section accommodates the application of markups or markdowns (fixed or percentage based) to specific line item types. Once setup, the applicable mark ups and mark downs will automatically apply to the additional charge on the quote.
The Profit Analysis in the quote refers to the contract and owner cost setup.
Setup Shared Expenses:
Create shared expenses on the aircraft level. This allows for expenses to be calculated based on shared accounts. This function is typically used when there are various accounts assigned to an aircraft and the expenses such as fuel, fees, etc. need to be shared among the owners. These factor into reports.
Access the account record
Create a contract
Save
Once saved, if the customer is provided a discount or markup on a specific additional charge (line item), set up in the line items section of the account contract.
Note: When creating a contract from the account record, the functionality to associate that contract to multiple accounts, aircraft tail numbers, aircraft types and aircraft categories is an option. If the operation has a vast amount of pricing per account and/or aircraft, it is best to setup through the account record.
