Task Updates

We've enhanced the task management tool with improved templates and automations offering greater customization and efficiency. Users can now define task severities, allowing for better flagging within Feasibility & Tools. Additionally, we've introduced Quote task templates as a new option, enabling the automation of recurring quote-related tasks. The UI on a task item form has been updated to streamline data entry, improve workflow, and enhance validation for easy identification of missing required fields.

Task Template Changes

My Company > General Settings > Task Templates
  1. When creating a new Task Template, a new toggle option is available for Quotes - allowing the user to choose between:
    1. Trip - Automated for Trips based aircraft, itinerary, customer, and other criteria.
    2. Quote - New! Automated for Quotes based aircraft, itinerary, customer, and other criteria. See more info below. 
    3. General - May be added manually to any page that supports Tasks. 
  2. When creating/editing a Task Template, the header indicates the type selected (Trip, Quote, or General)
  3. Enhanced validations and visibility on the create new task template modal to easily identify missing required fields.

Manual Task Feasibility Severity Selection Added

Previously, all incomplete tasks would display in the Trip Feasibility as Warning/yellow in the Task section. Now, there will be an option on the Task Template to set the level of Feasibility severity manually. The Feasibility alerts for Tasks will follow all the same validations and rules for other Feasibility alerts, including override permissions.

For this release, Feasibility may only be set on the Task Templates. Changing the severity on the individual task - in the Task widget - will follow in subsequent releases.
  1. Select from the following Severities:
    1. N/A : The task will not appear in Feasibility at all
    2. Info : Task will flag in Feasibility as a blue message
    3. Warning : Task will flag in Feasibility as a yellow message, override permissions may be applicable
    4. Critical : Task will flag in Feasibility as a red message, override permissions may be applicable
  2. All existing Tasks and Task Templates will default to Warning/yellow. (This is so if no action is taken to change the Severity, all Task functionality will remain the same.) 
  3. Completed or deleted tasks will never flag in Feasibility for any severity. 
  4. Severity selection is in the Task Template for both Trips and Quotes and will be the same severity for either. 
  5. Severity is only applicable to Tasks applied to Trips or Quotes. If the Task is applied to another record, Severity will have no visibility or impact. 
Notes
Task Priority (existing) and Task Severity (new) are 2 separate controls. Task Priority can indicate urgency without disrupting or holding up the Trip or Quote process, while Task Severity will incorporate that task into the workflow in a way that is on par with service disruptions/changes or regulation validations.

New Quote Task Templates 

Similar to how Task Templates may be created for Trip that automatically apply when conditions are met, now the same support is provided for Quotes! Many of the same filters and controls are available, some are adjusted slightly to suit the Quote use case. Same as Trip Task Templates, all conditions must be met to have the task auto apply. Some controls include (but not limited to):
  1. Assigning the Task automatically to the Sales Rep for the Quote or a Group 
  2. Setting the Task due in date dynamically based on create, the dept/arr date, or the Quote Expiration date. 
  3. Set as applicable to Retail, Wholesale, or both. 
  4. Set as applicable to Passenger legs, Position legs, or both. 
  5. Conditions for:
    1. Aircraft / Aircraft Type
    2. Airport or Country 
    3. Accounts / Account Type / Contacts
