Quick Start Guide: Crew Records

This article will detail:

  • How to create training programs and training items

  • How to connect the training items to the training programs

  • Adding crew members to the programs

  • Input training dates and upload training documents for the crew members.

CREATE TRAINING PROGRAMS

Training programs can be created as aircraft-specific and/or non-aircraft specific.

Non-aircraft Specific Program

  1. Go to Crew Records on the main menu, then programs

  2. Click Create

  3. Name the program. For example, the General Pilot Training program. 

  4. Do not select a pilot position unless the training items for this program are crew position (PIC/SIC) specific 

  5. Be sure to check the Trip Compliance check box. That provides the results of the crew currency checks in the Trip Feasibility > Crew section.

  6. Click "Create"

  7. Click the name of the program to add all qualification items and personnel applicable to the General Pilot Training program. Examples include Basic           Indoctrination, Non-specific 135.293, Drug Test, etc. 

Aircraft Specific Program

  1. Go to Crew Records on the main navigation, then click Programs

  2. Click Create

  3. Name the program. For example, Citation X Training (PIC) program.

  4. Unlike the non-aircraft specific program, now you will want to select a crew position within the program.

  5. Be sure to check the Trip Compliance check box. That provides the results of the crew currency checks in the Trip Feasibility > Crew section.

  6. Next, associate the aircraft type with the program type rating

  7. Add all training items pertaining to the Aircraft Type Rating for the specific PIC training program, by clicking the "Add New" button. For example, 135.299, 135.297, 135.293(a)2-3,(b).

Note: A qualified PIC does not need to be part of the SIC program. In a trip when PIC qualified, they are an option to crew as SIC.


ASSIGNING CREW MEMBERS    

Once the Program is created you will then add applicable personnel by toggling to the "Personnel" tab and selecting crew members from the drop-down. Once added they will appear in alphabetical order based on their first name.

Note: Each aircraft type should have a position-specific program for both positions that apply (PIC/SIC).


ADDING TRAINING DATES AND DOCUMENTS

Once all programs are created, training items are created and crew members are added, you will begin to enter the last completed dates and upload training documentation. There are three locations to enter dates and training documents. Once inputted in one area, it applies to all. 

Training Program

  1. Within the training program on the personnel tab, click edit next to the personnel name.

  2. Input the last completed date and the next due will auto-calculate. Base month is calculated based on Next Due. If grace eligible is set up on the item, dates will auto-populate. NOTE: If the initial training date entered is when a crew member trained in early or late grace, adjust Next Due to set the required month as the base month

  3. Click the docs icon to upload a training document from your machine. 


Personnel Profile

  1. Access the personnel profile through My Company > Personnel >Training tab.

  2. Click the blue edit button

Crew Records > Training Items

  1. From the main navigation proceed to Crew Records > Training Items.

  2. All personnel member's training items are listed here.   

Helpful Hints: Each aircraft profile contains a Directly Assigned Aircraft section. Direct assigning can replace program association (in the case of 91 personnel that compliance does not need to be tracked) or it can be an additional crew record management option. When direct assignments are created and a position is designated, the personnel is an option to crew on the aircraft in the selected position. For example, Kurt Earhart is directly assigned to tail # XXCITA10 as a PIC, he is available as a PIC and SIC for the XXCITA10. The added benefit of direct assigning is crew currency information (if setup) is provided in the Quote Feasibility > Crew section for the sales team.
