Schedule Board: Create Events

This article details the following

  • How to create events via the Schedule Board;

  • the explanation of each field in the event form;

  • how to create multi-day events; and

  • edit/remove capabilities based on access levels.


CREATE SINGLE EVENTS

To access the Schedule Board proceed to the main navigation and click on Schedule Board. Then click on the green plus symbol in the upper right-hand corner and select "Create Event".


EVENT FIELDS

The required fields for creating an event are based on the selected Event Type. Users also have the ability to set a default Event Category which will be auto-assigned once an Event Type is selected. Below outlines each available section within the Create Event module.

Event Type

  • Duty Time: These types of events are considered in the trip feasibility and will flag if there is a duty time issue. This does not flag in the trip feasibility on an overlap.

  • General: This event type does not flag in the trip snapshot.

  • Out of the Office (Unavailable): This event type is factored into the trip feasibility flags.

  • Hard Day Off (Unavailable): This event type is factored into the trip feasibility flag when configured in the regulatory set.

Note: Once an Event Type has been selected and saved it cannot be edited.

Event Category

The event category allows further categorization of events. For example, a duty event needs to be categorized as training. This allows for more granularity when reporting on personnel events. These categories can be customized in My Company > Profile > Schedule Board > Event Categories.

Timezone:

Local, Homebase, and Zulu are the options. When the Time zone is set to:

  • Local: The time input is in Local time based on the airports selected.

  • Homebase: The time input is the Homebase time based on the user logged in.

  • Zulu: The time input is the Zulu time based on the user logged in.

The event displays on the aircraft and crew schedules in the time zone set in the Schedule Filter Settings, not in the time zone in which the event was created (unless they are the same). The Time zone setting can be set as a default by accessing the personnel's profile. Refer to Flight Crew Personnel Profiles for details.

Start Date/Time:

Based on the Time zone option set, input or select from the date picker by clicking on the date.

End Date/Time:

Based on the Time zone option set, input or select from the date picker by clicking on the date.

Note: After an event is created and the event contains an increment (example: 1 day, 8 hours, 4 hours, etc.), if the start date is changed, then the end date updates based on the originally calculated increment.

Start/End Airport:

Search by ICAO, IATA, FAA, or by the city to select the start airport. Manually created Locations are not in the drop-down selection.

Aircraft:

If a tail number is associated with the event the option is available to designate it as such.

Personnel:

Active personnel members are on the list to add. Apply one personnel or multiple personnel to the same event if the details apply to all personnel on the event. This creates individual events for each personnel member listed.

The following fields are optional when creating events via the Schedule Board:

  • Subject: This is the name of the event and is displayed on the calendar in the event on the first row

  • Location: This is a reference entry

  • Description: Any details applicable to the event.


CREATE MULTI-DAY EVENTS

To create a multi-day event for any personnel member, first, follow the steps outlined above. Once the Create Event pop-up appears toggle the Occurrence setting from Single to Multi. The default is Single.

Multi allows the user to create the event on multiple days allowing gaps between the times from day to day. If the user enters a date and time range when in Single mode, then updates the toggle to Multi, the Event modal lists out individual events matching the Start/End Times on separate rows. Each row listed in Multi-mode creates a separate event on those days for each of the assigned Personnel. All fields can still be edited within Multi mode.

Note: If the toggle is set back to Single-mode, the Start Date/Time and End Date/Time fields are cleared out.

Currently, there is no validation in place to flag if an entry that is being added within the event overlaps another already scheduled item for the personnel member. If the user is editing the time values and submits an end time that is before the start time rollover text is added letting the user know the “Event will end on the next day”.

There is a green ‘+’ button that includes a drop-down labeled Add Day located below the existing rows. If the user clicks on the drop-down they are able to select a set number of rows to add to the form. The form has a limit of 16 rows when creating a multi-day event.

The drop-down to add days updates with the remaining number of rows available is based on how many have already been added. If the form is already at 16 rows and the user clicks the + to Add Day a red toast error occurs stating "Error: Cannot add more than 16 entries". A delete button is available for each row.

After a Multi-Day event is created and saved the occurrence toggle is removed when opening the event and all entries are required to be edited individually.

Note: The rows do not have to be created in chronological order. If a date is missed the user is able to add it out of order on the next row and the event is still created successfully.


EDIT/REMOVE EVENTS

Each user has access to create an event for themselves. Once created, the following roles are able to edit/delete the event: Accounts Admin, Operations Manager, Sales Manager, Scheduling Manager, Chief Pilot, and Sales & Scheduling Agent.

The remaining roles do not have the ability to edit an event: Fleet Administrator, Finance Manager, Marketing Manager, Crew Records Manager, Personnel Administrator, TSA Administrator, Finance Agent, Maintenance Technician, Sourcing Agent, and Pilot. A user only needs to have one of these User Roles to qualify to edit events.

Note: If a user is listed as an event participant they are not able to edit/remove the event unless they are assigned the accessible roles mentioned above.
